What drives migration cost up

  • Data quality: If your source CRM has significant duplicates, inconsistent field formats, or missing relationship data, cleaning adds 30–80% to the migration timeline and cost.
  • Custom objects: Standard CRM objects (Contacts, Accounts, Deals) migrate cleanly. Custom objects with complex relationships require field-by-field mapping and often some data transformation scripting.
  • Volume: Migrations under 100,000 records are straightforward. Above 500,000 records, batch import strategies and error handling add meaningful overhead.
  • Automation rebuild: Your existing workflows, sequences, and process automations don't migrate automatically — each one needs to be rebuilt in Zoho CRM. Complex Salesforce Process Builder flows or HubSpot workflow trees can add significant build time.

Will I lose data when migrating to Zoho CRM?

Data loss during migration is avoidable with proper methodology — but it requires careful planning. The most common causes of migration data loss are: (1) fields in the source CRM that have no equivalent in Zoho (these need a custom field created before import); (2) relationship data that's implicit rather than explicit (e.g. notes that reference contacts by email address rather than CRM ID); (3) attachments and file storage, which require separate handling from record data; (4) activity history (calls, emails, meetings) which is often the hardest data to migrate completely. Can I run Salesforce and Zoho CRM in parallel during migration?

Running both systems in parallel for a transition period is possible but requires discipline. The risk is data divergence — records updated in Salesforce after the initial data export will be out of date in Zoho. For a 30-day parallel run, we recommend: freezing all data entry in Salesforce on a defined date; running a delta migration (only records changed since the last export) to synchronise; then cutting over fully to Zoho on a defined go-live date. Two-system operation beyond 30 days is not recommended — the operational overhead and data quality risk outweighs the safety benefit.

Which Zoho CRM edition is required for data migration?

Most data migrations can be completed on any paid edition of Zoho CRM (Standard, Professional, Enterprise, or Ultimate). However, if your migration includes custom modules, multi-pipeline structures, or advanced territory management rules from Salesforce or Dynamics, you will require the Enterprise edition at minimum. The Standard and Professional editions have lower limits on custom fields per module (150 and 300 respectively) and do not support custom modules or advanced scripting. We advise reviewing your source database schema against Zoho's feature limits before purchasing licenses to avoid mid-migration upgrade requirements.
