Project Background & Technical Context
Prime Haven Properties is a Dubai-based property developer with an active off-plan residential portfolio across three projects (460 units total at time of engagement). They operated with a 22-person sales team, 4 sales directors, and a broker network of over 80 registered external agencies. The primary problem: there was no single system of record. Leads from Bayut, Property Finder, and their own website all landed in different inboxes; unit availability was managed in a shared Google Sheet that caused double-selling on three occasions; broker commission calculations were done manually in Excel per transaction.
What was built
Three integrated layers were built on Zoho One: (1) Zoho CRM configured with a custom Property module (unit ID, project, floor, type, size, AED price, status: Available/Reserved/SPA Signed/Handed Over/Sold); (2) Zoho Creator unit availability app — a tablet-optimised interface for the sales team and broker network showing real-time unit status with 1-click reservation locking, requiring a deposit confirmation before marking a unit as reserved; (3) commission automation — when a deal moves to "SPA Signed" status, a Deluge function calculates the broker commission (configurable %, split with referral source if applicable), creates a commission record in Zoho Books, and generates a notification to the finance team for payment approval.
