The Challenge

Three systems, zero integration.

The client had been operating for eight years with a Shopify storefront, a legacy CRM they'd outgrown, and a tangle of spreadsheets managing inventory and finance. Orders arrived in Shopify. Customer records lived in the CRM. Stock levels were tracked in Google Sheets. Invoices were raised manually in a separate accounting tool.

The result: 14 hours of admin time consumed every week re-entering data between systems. Order errors from stale inventory counts. Customer service agents who couldn't see order history without logging into three separate tools. And a finance team producing end-of-month reports that took two full days.

We began with a three-day business architecture review — mapping every data flow, manual step, and system touchpoint across the order lifecycle. Only once we had a complete picture of what was happening did we begin designing the Zoho environment.

The implementation was phased. First, we built the Zoho CRM core and connected it to Shopify via a native integration — so every new order automatically created a customer record with full purchase history. Then Zoho Inventory was configured to sync stock levels with Shopify in real time. Zoho Books was connected to both, automating invoice creation on order completion. Finally, Zoho Desk was set up to pull the full customer and order context into every support ticket.
