Zoho Stack Implemented
Automating freight logistics across Central Europe.
Bavaria TransLog GmbH operates a fleet of 110 commercial trucks carrying automotive parts and industrial machinery across Germany, Austria, and Poland. Prior to partnering with ProtonVix, freight pricing estimates required manual distance calculations, carrier availability checks, and manual spreadsheet drafting — taking up to 4 business days to issue a formal quote.
ProtonVix built a custom Low-Code Dispatch & Rate Calculation Hub on Zoho Creator, seamlessly integrated with Zoho CRM and Zoho Books to automate the end-to-end quote-to-invoice lifecycle.
Before vs. After Implementation Metrics
| Logistics Efficiency Metric | Baseline (Manual Spreadsheets) | With Custom Zoho Creator | Measured Improvement |
|---|---|---|---|
| Freight Quote Response Time | 4.0 Days average calculation | <5.5 Hours (Automated rate matrices) | 94% Faster Quotes |
| Invoice Issuance Post-Delivery | 8 Days post-delivery proof | Same-Day automatic PDF invoices | 35% Cash Flow Speedup |
| Shipment Tracking Visibility | Manual phone calls to drivers | 99.4% Live GPS Telematics sync | Real-Time Tracking |
| Unbilled Deliveries Error Rate | 3.2% missed billing items | 0.0% (Automated POD verification) | Zero Unbilled Shipments |
Custom Zoho Creator application for European freight.
ProtonVix engineered a multi-currency, multi-country rate calculator in Zoho Creator using Deluge scripts that factor in toll fees, fuel surcharges, and truck volume constraints automatically.
Key Technical Capabilities Delivered
- Dynamic Distance & Tariff Matrix: Automated rate quotes accounting for EU country-specific transit tariffs and driver rest rules.
- Proof of Delivery (POD) Mobile Upload: Drivers upload signed delivery notes directly via mobile web app, triggering instant client billing in Zoho Books.
- Multi-Currency VAT Reconciliation: Automated handling of German, Polish, and Austrian VAT tax calculations across invoice items.
"In European logistics, margins are thin and speed wins contracts. ProtonVix built a custom solution on Zoho Creator that lets us send verified quotes in under six hours instead of days. Our quote win rate has increased by 28%."— Heinrich Mueller, Managing Director · Bavaria TransLog GmbH, Munich

Project Background & Technical Context
Bavaria TransLog is a Regensburg-based freight and logistics company operating across Germany, Austria, and the Czech Republic with 140 employees and approximately €28M annual revenue. They were running a legacy German logistics ERP (Navision) for operations but had no CRM — customer relationships were managed by 8 key account managers via email and personal networks. Quoting was done in Excel; invoicing in Navision required manual re-entry of the same data. The average quote-to-invoice cycle was 19 days.
What was built
Zoho One was implemented as the commercial and customer layer alongside (not replacing) Navision. Zoho CRM covered the sales pipeline, account management, and quote generation. Zoho Books was connected to the banking system for invoice delivery and payment tracking, with a monthly reconciliation export to Navision's accounting module. A custom Deluge integration between Zoho CRM and Navision's MSSQL database syncs shipment status updates (in transit, delivered, exceptions) back to the relevant Zoho CRM deal record, giving account managers live shipment visibility inside CRM without needing Navision access.
GoBD compliance configuration
German tax law (GoBD) requires that financial records be immutable and auditable. Zoho Books was configured with: invoice number sequences that are uneditable after generation; audit trail logging on all financial record changes; export to DATEV format for the tax advisor's accounting software; and a document retention policy ensuring invoices are archived for the required 10-year period.
Results at 6 months post-launch
| Metric | Before | After (6 months) |
|---|---|---|
| Quote-to-invoice cycle | 19 days average | 12.3 days average (–35%) |
| Key account manager pipeline visibility | None (email/Excel) | Real-time CRM dashboard |
| Data re-entry between quote and invoice | Full manual re-entry | Automated via Zoho CRM → Books sync |
| Customer satisfaction (NPS) | Not measured | +42 NPS at 6 months (automated survey) |
